General Information

Spot on villa rentals ltd is renting properties on behalf of private owners offering rental accommodation in Cyprus either directly, through a third-party site, or a rental agent/representative. All properties are registered with the tourist license board in Cyprus. 

All of our properties are given a name for our purposes, they may not reflect the complex/property name and are for our purposes only. Other sites or owners may use alternative names for their own adverts.

Reserving a property through us

When you request a booking, we will process the information and confirm the details for your booking. Bookings will be considered confirmed once a deposit has been paid, which must be done within 24 hours of booking. Once we receive your payment we will send you a receipt by email. Your booking will be held but not considered booked until the deposit has been received. 

Our website is quoted in euros and is on a per-night base which varies per season. Our properties are rented on a weekly bases with a minimum of 6 / 7 night stays upwards.  

In order to book a property with us you must be at least 18 years of age and agree that the property will not be used to host events or parties. Our properties are homes, they are for families and couples, and mature friend groups looking for a relaxing stay to enjoy the facilities. There are plenty of companies that offer accommodation for young groups who may wish to party but we are not the company for you. 

Payment Terms

30% deposit upon booking (non-refundable) and the balance is due 8 weeks prior to arrival. Late payments of more than 7 days on the balance will be considered canceled unless you have been in touch with a representative via email to discuss the payment. We accept payments by bank transfer into our local bank account or via debit/credit card (a small fee will apply on card transactions). Please note we do not accept cash or cheques in the post. 

On the day of arrival, a deposit will be required as a damage deposit, this usually ranges from 150 euros to 500  euros depending on the accommodation you are booking. 

Electricity Fair Usage policy

For any bookings that are made with spot-on villa Rentals, each has an amount of electricity included for the duration of your stay per week. Any additional kw used over this amount will be charged at 0.30 cents per kWh. We will take the reading on the day of arrival and also take a photograph for reference. In some properties, a kwh counter can be found. 

Air-Conditioning

Electricity in Cyprus is expensive and using the airconditioning should be considered a luxury. There are certain rules we expect to follow to use them correctly. Do not leave the windows or doors open when a unit is running, turn it off when you are not in the room, and never set it lower than 20C. If you follow these rules you should have a few problems, however, if these rules are not followed it can lead to ice building up in the units and leakages.

Property Check-in / Check-out Times

You can check in to all of our properties after 16:00hrs and you should vacate the property no later than 11:00hrs on the day of departure. If your departure flight is later than 11.00hrs then you may wish to secure an extra night in advance to guarantee you can stay later. Closer to the time of your arrival if the villa is available for a later checkout, then this can be booked directly with us for a fee.  

Upon making any reservations, please take into account that your flight may arrive in the early hours of the morning or late the previous evening, in which case, if you require immediate access to the property, you should add an extra night to your rental period.

Late check-outs are at the discretion of the property owner or property manager.

Properties with the option of pool Heating

Most of our properties do not have heated pools, however, if the property you are renting does then we need a 2 week notice period. Please note that pool heating will only increase the temperature of the water by 3-5 degrees maximum above the outside air temperature. Pool heating is charged at 35 – 100 Euros per day depending on the property and the pool size.

​Cancellation Policy

​Cancellation by Yourself

You may cancel your booking at any time, however, all cancellations must be submitted to us in writting by email and will be considered effective from the date of receipt by us.

The cancellation fee will apply as follows:

Before 8 weeks of arrival: a non-refundable deposit will be held by us.
Less than one month before arrival: 100% of the rental cost.
There is free cancellation if canceled within 48 hours after placing the reservation. 

As a company, we understand that things happen and that missing your holiday would be a last resort. However, as a small family-run business we rely on our rentals going ahead and are obliged to make payments to our owners who have reserved spaces for guests. Being on an island it is highly unlikely we will be able to re-rent a property for your dates. This is why we insist that travel insurance is not an option, you need to have travel insurance to cover your accommodation and trip disruptions. For a small fee, you can have your emergency needs covered and we can still maintain the quality of service we want to offer to our owners and visitors. 

​Cancellation by a Property Owner or agent

In the rare event, the property owner or ourselves need to cancel your booking for any reason then we reserve the right to cancel any reservation for any reason, including double bookings. In this unlikely event, you will be offered the option of renting another property (subject to availability) with the price difference payable/refundable as appropriate or a full refund. Spot on villa rentals will not pay any compensation but we will do our utmost to help you with alternative accommodation.

Number of guests accommodating a property

The number of occupants is specified in the listing, only guests on the booking form are permitted to stay at the property, and at no point may any additional guests visit or stay at the property. In the event, we find out that the property is over-occupied the owner and agent have the right to terminate the booking and request you vacate the property within 2 hours without a refund. 

It is not permitted to sub-let the property. It is also not permitted to allow other people to stay at the property or use the property’s facilities without prior authorization.

Changes to the description/photos or Property Specifications

As a company, we work with our owners to continue to update and make changes to the properties. However, we have no control over the changes that are made. In some cases photos may not reflect the exact product, as an example, the beige photo on the sofa is now leather and brown. we reserve the right to update and change the services at any point and no claims will be accepted or compensation paid for claims of this nature. However, all properties will always have our standard amenities - air conditioning, heating, water, electricity, kettle, toaster, microwave, washing machine, television, and wifi as standard items. The items that may change are consoles, tv packages, and furnishings.   

Building Works

We try to let our guests know when construction will be taking place which may affect your stay. However, we cannot be held responsible for work carried out by third parties as we very often will not be made aware until the time they happen and there is no advanced warning to us.  We are not in a  position to prevent or demand the end of any construction works or renovations to other properties.

​Breakages, Damage, and Cleanliness

All of our properties are someone's home and we expect them to be treated as such. We expect to receive the property back tidy, furniture where it was on arrival, and all rubbish removed from the property to the bin. We do not expect to pick up cigarettes, meat bones, or nappies from piles around the grounds. The kitchen should be left with all dishes washed and put away. 

If you move the furniture please make sure you put it back and in no circumstances take something from inside or outside. If pool sunbed covers are supplied, they do not float and once water is inside they will be extremely hard to dry and will need replacing, so take our word for it and don't try. 

If the property has an umbrella, please keep it down when not in use, the wind can whip up quickly and you dont want to find an umbrella in the pool whilst you were at the beach. 

Before your arrival, a minimum security deposit of €150 - 500 (depending on the villa) will need to be blocked on your credit card or paid in cash on arrival and is refunded 3 days after departure. 

What we expect from our guests

We expect our guests to use common sense and be respectful of the neighbors, the home, and the facilities. It goes without saying that swimming at night time is dangerous and children should be accompanied by an adult at all times. There are basic pool rules in place and they should be followed. In the event you find a problem, please report it. Even if you think it is a small issue and won't bother your stay it is something that can really help us as managers keep the property at its best shape. 

Liability

We are only a booking agent of private accommodation, no liability whatsoever is accepted on behalf of the owner for any aspect of the arrangements and, in particular, for any loss, personal injury, or death, however, incurred, except where an act or omission is a result of willful misconduct or gross negligence on the part of spot on villa rentals.

Spot on villa rentals will not be liable if faced with Force Majeure (i.e. unusual and unforeseeable circumstances beyond our control), the consequences of which we could not avoid. These include, but are not limited to, oversights or errors by third parties, war, riot, civil commotion, terrorist activity, natural or nuclear disaster, industrial dispute, fire, flood, adverse weather conditions or the threat of any of these.

All properties are cared for and maintained by the owner(s) or their delegated property manager. We cannot be held responsible for any breakdown of mechanical equipment such as washing machines, dryers, dishwashers, fridges, freezers, swimming pools etc. (although, we will endeavor to repair the problem as soon as possible). Spot on villa rentals and/or the property owner(s) shall not be liable to pay any compensation.

No responsibility is accepted by spot on villa rentals and/or the property owner(s) with regard to the occupants’ personal safety or any accidents or injury sustained on the property grounds. Particularly, your attention is requested regarding the supervision of children when using spas and swimming pools, as no lifeguards are on duty.

Travel insurance is expected from you to purchase when booking a property with us and should cover all possible expenses. As a company we expect all of our owners to take out insurance and public liability on the home. In the instance of insurance, this will only cover the items belonging to the property and not to a guest, your own insurance will be for your own items. We also only rent out properties that are registered within the tourist license register in Cyprus. 

Complaints

In the unlikely event, you have a problem or complaint, we must be made aware of it during your stay immediately and give us the chance to rectify the problem. In most cases, we will be able to arrange anything that is missing or broken very quickly. It really is no point going home and then telling us you had no teaspoons when this is a simple fix.
